This notice explains how I use personal information when you visit energy-assessor.co.uk, ask me for an EPC quote, book an assessment, or contact me by phone, email or WhatsApp.

The data controller is James Battersby, trading as Energy Assessor (J Battersby EPC).

Personal information I collect

 

Depending on how you contact me, I may collect:

  • your name, email address and telephone number;

  • the property address, property type, number of bedrooms and other details you give me for a quotation or EPC assessment;

  • the contents of messages, emails and WhatsApp conversations about your enquiry or appointment;

  • information needed to arrange access, including a tenant’s or agent’s contact details where a landlord or another representative provides them;

  • documents, photographs or other evidence you choose to provide about the property; and

  • technical information about visits to the website, such as pages viewed, device or browser details, and cookie or analytics information, depending on your cookie choices.

Please only send information that is relevant to your enquiry or assessment.

 

How I use your information and my reasons for doing so

I use personal information to:

  • answer enquiries, provide quotations and arrange appointments;

  • carry out and administer an EPC assessment, lodge the certificate through the relevant accreditation and government systems, and send you the completed certificate;

  • communicate with you, a tenant, landlord, letting agent or other contact about access and the assessment;

  • maintain business, accounting and accreditation records, respond to questions or complaints, and deal with legal claims where necessary; and

  • understand and improve the website and measure advertising results where you have allowed the relevant optional cookies.

 

For enquiries and bookings, I use information because it is needed to take steps you have requested before a service is booked, or to provide the service once agreed. I may also use relevant records for my legitimate interests in running and protecting my business, responding to queries and keeping appropriate records. I use information where required to meet legal obligations. Optional analytics or marketing cookies are used only according to your cookie choice and applicable requirements.

If you do not provide the property and contact details needed for a quote or assessment, I may be unable to provide that service. You can contact me by phone, email or WhatsApp instead of using the website form.

EPC certificates and the public register

 

To produce your EPC, I must submit relevant property and assessment information through my accreditation scheme and the official government EPC register. The resulting certificate and some property information may be publicly searchable on that register under the rules that apply to EPCs.

Who may receive your information

I share information only where needed to run the website or provide the EPC service. This may include:

  • Wix, which hosts the website and processes website enquiries and form submissions;

  • Google, where used for email, website analytics or advertising measurement;

  • WhatsApp/Meta, if you choose to contact me through WhatsApp;

  • Elmhurst Energy and the relevant government EPC register, for accreditation, assessment and certificate lodgement; and

  • professional advisers or public authorities where needed to meet a legal obligation, protect the business, or handle a complaint or claim.

 

I do not sell your personal information. I do not provide enquiry details to another business so it can market its own products or services.

The website uses a cookie settings panel with essential, functional, analytics and marketing categories. Essential cookies support the operation and security of the website. Optional cookies may help remember preferences, understand website use or measure advertising. You can use the cookie settings panel on the website to choose whether to allow optional cookies. If you allow analytics or marketing cookies, Wix and/or Google may process technical and usage information for those purposes. The precise cookies depend on the services and settings active on the site. You can also change cookie settings in your browser, although blocking all cookies may affect some website features.

How long I keep information

​

I keep personal information only for as long as it is needed for the purpose for which it was collected. I review records and delete or securely dispose of them when they are no longer needed. The period depends on the record. I consider whether an enquiry is still active, whether an assessment or certificate needs to be administered, and any applicable tax, accounting, accreditation, insurance, complaint or legal-claim requirements. Some certificate and assessment information may also remain on the official EPC register under that register’s rules.

Keeping information secure

I take reasonable steps to protect personal information against loss, misuse and unauthorised access. No method of sending or storing information online can be guaranteed completely secure, so please avoid sending unnecessary sensitive information through a website form or ordinary email.

Your data protection rights

Depending on the circumstances, you may have the right to ask me to:

  • provide a copy of your personal information;

  • correct information that is inaccurate;

  • delete information or restrict how it is used;

  • provide certain information in a portable format; or

  • stop using information where you have a right to object.

 

If I rely on your consent for a particular use, you can withdraw that consent at any time. Withdrawing consent does not affect processing that took place before you withdrew it. You can also complain to the Information Commissioner’s Office (ICO) if you are unhappy with how I have handled your information: ico.org.uk/make-a-complaint.

Information about someone else

 

If you give me another person’s details—for example, a tenant’s details so I can arrange access—please make sure you are entitled to share them and let them know I may use their details to arrange and carry out the EPC assessment.
